Safety and Well-being

Our commitment to your safety and wellbeing

Even when it comes to fun, adventurous, political and economic LARP, your physical and emotional health is a top priority for us.

A safe environment in every way.

We do everything we can to create a healthy and safe space where every participant can feel confident throughout the game.

We focus on three key areas:

Physical safety: We ensure that the gaming environment is suitable and safe, with appropriate preventive measures in place.

Food safety: Our kitchen team is trained to cater to specific dietary requirements and allergies.

Emotional safety: Our Safe representatives are there to accompany and support participants throughout the event.

Rest and recovery areas:

At our events, we provide a white room - a space dedicated to rest and relaxation, open to anyone who wants to take a break or a moment for themselves.

Comprehensive support.

Our safety measures begin well before the event itself: during our communications with participants and during the preparation workshops. The information you share with us is used by the organising team, the kitchen team and the Safe representatives to tailor our services to your needs.

Respect for your privacy.

Please note: If you do not wish to share certain information with us at this time, please do not feel obliged to do so. We understand that this is confidential and sensitive data.

You have several options:

  • Fill in the appropriate form according to your comfort level

  • Let us know your dierent flag colours so that we can either intervene as moderators or prevent hostility between you in the game.

  • Contact us after confirming your registration to specify your needs and requests for game-specific documents

  • Share your concerns with us at any time, as our team is here to support you.

In any case, we will be very attentive to your needs and will do everything possible to make your participation as enjoyable as possible.

For your safety and our organisation, a reminder will be sent by email to those selected.

Thank you for helping us take care of you :)

Safety Charter Regulations

BAROK LARP – "Quantum Games"

INTRODUCTION

Welcome to the world of Barok (GN). We offer you a collaborative adventure for the well-being of everyone. Safety is our top priority, and this charter aims to ensure a safe and enjoyable environment for everyone. By adhering to it, you are helping to create a positive and unforgettable experience.

Please take the time to read it. Send us your suggestions and sign up to endorse the various points.

SAFETY POINTS

  1. Access to the site: Please respect the designated areas and follow the instructions given by the organisers. This is for your own physical safety. Please help us by reporting any potentially dangerous areas or obstacles that we may have overlooked.

  2. Environment: Please respect the environment as much as possible and ensure that our visit to the site leaves no negative impact. Please provide rubbish bags for sorting waste, hidden under TI cloths (jute or other). We also invite yo to be considerate by explaining to everyone their role in helping to preserve a healthy environment.

  3. Lighting: Please use appropriate light sources at night, customising them with steampunk lamps for a better TI immersion. For fire safety reasons, naked flame candles are prohibited. LED alternatives, which are easily customisable, will help to maintain a pleasant and immersive atmosphere. Avoid walking in areas that are too dark or without lighting, and do not hesitate to report any potential hazards in unlit areas. Torches are permitted at night.

  4. Emergency evacuation: To facilitate emergency evacuation routes, we must all ensure that access to the outside of the camps and the site is always clear so that an ambulance can pass easily. This means keeping a central passage of 10 meters between tents for both ambulances and stretchers if necessary. More detailed instructions in case of emergency will be distributed during the game, and you are asked to follow them

Inside the building, follow the instructions on the evacuation plan and those given by the evacuation officers to help you evacuate. The assembly point will be indicated at the start of the game.

CAMPFIRES

  1. Controlled fires: The organisation requests that any campfires be placed in a brazier or a suitable steel container that allows the fire to be lit safely. These fires must, of course, remain under constant supervision. Before leaving the area the night before, extinguish them completely and transfer the cold ashes to sturdy bin bags. The use of steel buckets for this purpose is encouraged. The disposal and management of ashes must be carried out safely. Depending on weather conditions, the use of campfires may be prohibited.

  2. Approved location: You will be informed of the areas specifically designated for fires (i.e. 10 meters from any tent). Your Group Organisation Manager (GOM) will be responsible for ensuring compliance with this measure and the safety of the group. The location of the fires must be approved by the LARP safety officer.

  3. Firefighting equipment: Fire extinguishers, sandbags and other fire prevention and extinguishing equipment must be kept nearby. It is essential that any camp wishing to use a fire has a suitable fire extinguisher that is in good working order and ready for use. Firefighting equipment must remain accessible and known to the whole group.

SUBSTANCE USE

  1. Drugs and narcotics: the sale and consumption of drugs and narcotics are prohibited by law. This same law obviously applies in the game.

  2. Alcohol: You are asked to remain responsible for your alcohol consumption, both in designated areas (taverns, etc.) and within the group. Minors are not legally allowed to consume alcohol. Please ensure that your consumption does not endanger anyone or disrupt the game. If this is the case, measures will be taken.

  3. Tobacco: Tobacco consumption is only permitted outdoors. We invite you to ensure the best possible immersion in the game and, therefore, to personalise any accessories you may have (pipes, cigarette holders, vapes, electronic cigarettes, etc.). Any TO element may be asked to be concealed or even prohibited. Players must manage their tobacco waste (no cigarette butts or ashes on the ground) and must bring a portable ashtray. Smoking is prohibited inside tents and buildings.

  4. Responsible behaviour

  • Mutual respect: The unacceptability of any act of TO violence, whether verbal or physical, is not open to debate. If there is a conflict during the game, please discuss it with the organisers. Depending on the seriousness of the incident, consequences both in-game and out-of-game will be applied.

    • Verbal and physical violence must be consistent with your character and the situation in the game. It must not be disproportionate or inappropriate. And if other players refuse an interaction deemed inappropriate, respect their refusal. For example, for a fight, you must whisper this in your opponent's ear and get a "yes" of consent or a clear nod of agreement. The fight can then be simulated, but only outdoors.

  • Game integrity: The goal of LARP is to have fun. To participate in the co-creation of a world and characters that interact for the enjoyment of participants, PCs, NPCs, volunteers, and organisers.
Please respect each other's boundaries. You are responsible for your character's actions. Make sure your play fits with the world and your role, but does not hurt anyone physically or emotionally.

  • Altered state of consciousness: Access to the game areas is prohibited if you are in an altered state of consciousness - intoxicated or under the influence of substances (this may include medication, please discuss this with the organisers). Your ROG (Group Organisation Manager) is responsible for deciding whether or not you can access the game. The organisers are responsible for any problems that arise during the game.

  • Emotional safety: At each event, a person responsible for emotional safety is present on the game site. Introduced at the briefing at the start of the game, they are primarily available for any emotional or psychological concerns. They are available to you in a personalised space within the game, ensuring the confidentiality of exchanges. This person is bound by professional secrecy, even when exercising their skills in a recreational setting. They also have certified training that you can trust. This practitioner is there to listen to your needs and support you in any steps necessary for your well-being. They are also able to conduct mediation if this is considered necessary. Their opinion is important to the organisers and to the game.

·

Legal aspect of professional secrecy: Art. 458. Professional secrecy (Belgium)

"Doctors, surgeons, health officers, pharmacists, midwives and all other persons who, by virtue of their status or profession, are entrusted with secrets, who, except in cases where they are called upon to testify in court (or before a parliamentary commission of inquiry) and where the law requires them to disclose such secrets, shall be punished by imprisonment for eight days to six months and a fine.,.

   5. Safety word during events

If a situation escalates, inappropriate behaviour occurs or a participant feels uncomfortable, a safety word must be used. This word will be "Smurfette" (in French: "schtroumpfette"). It means that whatever was happening, the person is asking for a time-out. Calmly sort things out and immediately resolve the problem. Once the issue has been resolved, the person who announced "Smurfette" will announce that the game can resume (Time-In).

If this is not possible, contact an Argousin, an organiser, or the person responsible for emotional safety to resolve the issue.

They will allow the game to continue and take the people involved aside to resolve the discomfort or inappropriate behaviour.

It is also important to remember that if a character plays a villain or a person of low moral character for the sake of the scenario, it is not specifically done to harm you, but to play the character required by the scenario and the agreed suspension of disbelief. Once the game is over, people will step out of character and interact normally.

MEDICAL SAFETY

  • Medical declarations: As a reminder, it is important to inform the organisers of any pre-existing medical conditions (in other words, your health requirements – allergies – ongoing treatments, etc.). This information is only kept for your own safety and for the duration of the event. It will only be disclosed in the event of a medical emergency to those organising first aid, medical intervention and who have medical training.

  • First aid: Any injury or incident must be reported to the organisers. They are responsible for contacting the emergency services or requesting the assistance of a professional on site. First aid kits should be available and easily accessible. Please feel free to bring your own and let the organisers know if you have first aid training.

EVACUATION IN CASE OF DANGER

  • Dangerous individuals: Any individual who poses a danger to themselves or others due to their state of health, emotional state, manner of interaction or any other reason will be removed from the game until they no longer pose a danger, however minor. If calm or balance cannot be restored, evacuation may be considered and implemented.

  • Inappropriate behaviour: the organisers reserve the right to remove any person who behaves inappropriately (insults, racist, derogatory, contemptuous or slanderous remarks, homophobic, transphobic, xenophobic, misandrist or misogynistic remarks, non-consensual touching of any kind, harassing behaviour, and any undesirable and unwanted behaviour that has been expressed as such by the person concerned). If the person's conduct is legally reprehensible, the organisers reserve the right to notify the police.

ENTERING THE PLAYING AREA

  • Organisers may move around the site as they wish, in accordance with the agreements made with the owner of the site rented for the event. Organisers are also asked to pay a small financial contribution to support the game.

  • Those who have registered and paid for their place at the event have access to the areas set aside for the game from Friday afternoon to Sunday evening. It is hoped, and indeed desired, that participants will lend a hand in dismantling the scenery set up for the game. Thank you in advance. Payment entitles participants to various benefits, which are explained before each event: tent installation, access to meals provided during the game, access to the wargame (video game) by group, etc.

  • Anyone with malicious intent or attempting to force their way in will be removed from the site. The organisers reserve the right to call the police if individuals become insistent, aggressive or violent.

COMBAT AND EQUIPEMENT

All weapons and combat equipment must be approved before use in the game. Blows to the head are not permitted but will be played out if they occur accidentally.

Conversely, anyone who exclusively targets the head during each combat will be taken aside by the referees (Argousin.es) to review the safety rules. If this behaviour continues, the offender will be temporarily excluded from combat.

For combat, an armband system will be used on your arms for those who do not wish to fight. These armbands are not provided by the organisation and must be visible:

  • Yellow: no physical contact, no combat. A simple blade placed on the shoulder with an announcement of attack will be tolerated for the sake of the game.

  • Example: you discreetly approach Zéphir, a PC, you see his yellow armband, you gently extend your arm without violence, place your dagger on his shoulder and announce: "I am attacking you". You take back your blade and bring your arm back to fight other people present. Zephyr, for his part, will play along and pretend to have been wounded or put into a coma by moving away from the combat zone but remaining within reach of people so that he can be treated.

On the other hand, if you are skilled in the use of poisons in the game, there is nothing to stop you from subtly poisoning a non-combatant.

EMOTIONAL SAFETY

  • Barok LARP attaches great importance to the safety of its participants, both physical and psychological and emotional.

  • If you have any questions or concerns about your relationships with other participants or any other issues, you can contact our emotional safety officer. This trained person will be introduced to you at the start of the game and a safe room will be available at all times.

  • If you feel unwell or uncomfortable, whether physically or psychologically, you can always leave the game or the scene at any time, discreetly so as not to disrupt the game. You can then go to the area or room where the White Room is located. You can return to the game when you feel better.

  • It goes without saying that you are asked to participate in each other's games with respect, kindness and friendliness, regardless of who you are playing with, with your own particularities, differences and richness. The greater the diversity, the more intense the game will be. Inclusivity and diversity are part of the values promoted and defended by BAROK LARP.

CONCLUSION

By adhering to this charter, you and we will contribute to making "Barok LARP" an enriching, diverse and safe experience for all participants. Please do not hesitate to contact the organisers if you have any questions or concerns. Let's play and have fun together in complete safety.
